The Western International School of Shanghai (WISS) invites applications for Assistant to the Director of Admissions and Marketing.

Main responsibilities:

• Act as a first point of contact: dealing with correspondence and phone calls

• Manage schedules, organize meetings and appointments of the Director of Admissions & Marketing.

• Schedule and coordinate meetings, appointments, and travel arrangements for Director of Admissions and Marketing

• Organize events and conferences

• Generate, compile, format and prepare reports, presentations and correspondence

• Manage and maintain databases and filing systems (Hard Copy and Soft Copy)

• Liaising with staff, suppliers, partners and clients

• Collating and filing expenses and purchases

• Maintain records of contracts and deadlines

• Conduct market research and gather data for competitive analysis

• Provide general administrative and clerical support

• Perform data entry

• Content Translation (English – Chinese – English)

• Set up for meetings, record and distribute minutes of meetings

• Assist with office workflow by maintaining the Director’s notebook

• Maintain polite and professional communication via all communication channels

• Issue Certificates of Study

• Answer and screen phone calls

• Maintain contact lists

• Coordinate maintenance of office equipment, inventory, stationery, and cleaning of office

• Greet and provide general support to visitors in the office

• Assist in resolving any administrative problems

• Perform other duties as assigned by the Director of Admissions & Marketing

Key Skills & Qualifications

• Excellent communication skills in both English and Chinese

• Possess a high level of discretion & trustworthiness

• Ability to manage multiple projects and work assignments from a variety of staff

• Ability to accomplish projects with little supervision

• Excellent customer service skills and high expectations for quality

• Excellent organization skills and experience with project management

• Must be proficient in using the latest versions of Microsoft Word, Excel, PowerPoint, Access, and mail merges, email and web searches

• Must have a strong sense of teamwork, prioritization, and self-motivation

• Be flexible and adaptable

• English Language – Intermediate to Professional Level (Preferred)

• Chinese Language – Native Level (Required)

• Excellent organizational skills with the ability to multitask

• At least 2 years working experience in a high performing, fast moving environment
